Dental practice dedicated to providing high-quality, patient-centered care in a warm and welcoming environment. We're growing and looking for a friendly, detail-oriented, bilingual professional to be the first and last point of contact for our patients, someone who can make people feel welcome, keep our schedule running smoothly, and help patients understand and commit to their treatment plans.
We don't just want someone to answer the phone — we want a valued teammate who helps shape the patient experience. Here, your ideas and your voice matter.
We're hiring a Bilingual Front Desk Coordinator / Treatment Coordinator to manage the patient experience from the moment a lead or call comes in, through scheduling, insurance, treatment planning, and follow-up. Being fully bilingual in English and Spanish is essential. Beyond the front desk, this role also plays a key part in tracking and moving our patient pipeline forward — keeping our CRM accurate, following up with prospective patients, and helping us respond quickly across phone and digital channels. This role is ideal for someone who is organized, personable, tech-comfortable, and just as confident managing a spreadsheet or CRM as they are greeting a patient at the front desk.
You give your all to our patients and our team. It's time to work somewhere that gives back to you.
Also included: paid time off, vacation pay, and personal days · 401(k) match · profit sharing · life and health insurance · dental benefits for you and your family · merit-based raises · professional development · a privately owned practice, not a corporate DSO.
Greet patients warmly in both English and Spanish, in person and by phone
Answer incoming calls, manage inquiries, and respond to patient messages
Schedule, confirm, and reschedule patient appointments
Check patients in and out, collect co-pays/payments, and manage the daily schedule
Maintain a clean, organized, and welcoming reception area
Keep patient records accurate and up to date in the practice management software
Present and explain treatment plans, procedures, and associated costs to patients in their preferred language
Verify dental insurance eligibility and benefits prior to treatment
Submit insurance claims, obtain pre-authorizations, and follow up on outstanding claims
Help patients understand financing/payment options and set up payment plans
Coordinate between the clinical team and patients to ensure a smooth treatment journey
Keep patient/lead status current in the clinic's CRM pipelines (e.g., paid ads and Google Local Services leads) as they move through each stage, from new lead to booked, seen, and closed
Update lead status within 24 hours of any change so nothing sits in an outdated stage
Enter the exact treatment value into the CRM any time a lead is marked as closed/won
Keep the appointment tracking sheet in sync with the CRM at the end of each day, and flag any mismatches or missing information to the clinic owner
Log a complete contact record for every call that comes in through Google Local Services Ads (name, phone, source, date, service inquired about)
Track and document disputable calls following the clinic's dispute process, and submit disputes within the platform's eligibility window
Report dispute outcomes on a weekly basis
Follow up with prospective and existing patients who have pending or incomplete treatment plans to help them schedule next steps, using the clinic's standard call/text/email follow-up sequence
Log every follow-up touchpoint in the CRM and update the patient's status accordingly
Recognize when a patient shows interest but hesitation, and loop in the dentist or Treatment Coordinator for a more personal follow-up
Provide temporary phone coverage on weekends as needed while permanent coverage is established, using the standard inquiry script to answer questions, pre-qualify callers, and book qualified consultations

High school diploma or equivalent required
Previous experience in a dental or medical front office role — required
Experience with treatment presentation, case acceptance, or patient financial coordination a plus

Familiarity with dental practice management software (e.g., Dentrix Ascend, Eaglesoft, Open Dental) preferred
Working knowledge of dental insurance, claims, and billing procedures preferred
Comfortable engaging with patients over social media in a professional, HIPAA-compliant manner
